APAC Administration Manager / Chief of Staff

We are looking for a APAC Administration Manager / Chief of Staff to join us at our office in Tokyo.

You will play the key role of delivering seamless HR and administration support to the local organization in APAC.

Reporting to APAC Director, you will develop people, and improve local operation in APAC together with the global team. To succeed in your role, you are expected to fill the gap between the reality, and "where we should be heading to" as the role of APAC Administration Manager. In the daily work, based on the goal setting you have, you will communicate with all stake holders in APAC directly including employees, and partners. You will also be able to lead your own projects from start to finish as well as evaluate, and follow up on our ongoing operations. The goal is to ensure all support activities are carried on efficiently and effectively to allow the other operations to function properly.

Key responsibilities include the following:


  • Manage the day-to-day office administration function, including Customer Care, Finance, and General Affairs, to ensure seamless administration support to the local organization with aim to achieve maximum work productivity and cost efficiency.
  • Planning and coordinating administrative procedures and systems and devising ways to streamline processes as a way to ensure smooth operations.


  • Develop & Support all employees & organization in APAC.
  • Act as Business Partner with local Management on recruitment, work practices, change or implementation of HR policies, organization design and structure, compensation and benefits, compliance matters, etc;
  • Ensure HR processes are aligned with Global / Regional HR processes.
  • Play an active role in critical situations by acting as a key stakeholder in finding solutions to potential issues or challenges

Partner Management

You will be responsible for supporting distributors in South East Asia.

  • Currently we have two distributors. One is in Singapore, and the other one is in Australia.
  • You will analyze their local needs, and reflect your experience to support, and give advice to APAC director for him to develop business in APAC.

Required skills & experiences

  • You have minimum 10 years of relevant experience in managing HR and Administration, including managing a small team.
  • You are well planned and a real problem solver.
  • You can work independently and seek the answer to questions yourself.
  • You thrive in being the step ahead when proactivity is important to keep up with our ambition.
  • You never see problems, just opportunities.
  • You are organized and possess strong analytical skills with an eye for details.
  • You have the ability to manage time well to meet tight deadlines.
  • You are passionate about dealing with people in various levels.
  • You have a fluent level in Japanese, and business level in English. Business level in Chinese is plus.
